We do not share attendee contact information. We have been told by sponsors that they have been approached with offers to purchase our attendee contact list. Be aware that any such offer is a scam. Such a list is not available.

Please see the Gaylord Rockies Hotel and Convention Center Package Shipping Instructions provided by the onsite FedEx, which receives all shipments into the convention center.

Material intended for the registration package must arrive at least by the last business day before registration. Signage will be posted if it arrives later, but clearly there is greater value to the sponsor if it arrives at least the day before registration, so that it can be displayed for the entire conference.

Return shipping

If you have material that you know you’ll be shipping back at the conclusion of the conference, we recommend that you print the return shipping label when printing the shipping label to the Gaylord Rockies.

Icon and link on website

Some sponsorship levels are allowed an icon and link for the conference website. These will be displayed in a way that reflect the sponsorship level. Some levels include a custom message for the Sponsors page.

The Sponsors page also contains a list of Supporting Companies which includes both sponsors and exhibitors.

Dedicated page

Some sponsorship levels include a dedicated webpage on the cppcon.org website. This page will have the standard website header and sidebar with the content area as specified by the sponsor.

Welcome video

The Welcome Video is a video provided by the sponsor that is displayed in the cppcon.org sidebar.

Video Sponsorship

If multiple companies sponsor videos, then logos/pre-rolls will be distributed evenly, but not necessarily on each video.

Exhibiting Details

Location

Conference organizers prioritize exhibitor traffic when designing the layout of the conference. Our goal is to maximize exhibitor-attendee engage to the benefit of both.

Assignment of specific locations is determined by type of exhibiting (table or booth), number of exhibitor days, and date of exhibitor commitment.

Table

exhibitor tableExhibitor tables are six foot wide and either eighteen or thirty inches deep. They do not require a drape. Exhibitors can decorate with appropriate signage in the table area.

The conference will provide two “dining” chairs with each table. The conference has WiFi and tables will be provided with 110v power.

On request :

  • extra chairs
  • one or two high or low cocktail tables instead of a six-foot table.

Booth

Facebook boothExhibitor booths are a ten foot by ten foot area. Exhibitors can decorate with appropriate furniture and signage in the booth area.

The conference has WiFi and booths will be provided with 110v power.

  • pipe and drape at the back of the booth
  • “dining” chairs
  • tables: six-foot or high or low cocktail tables

Hours / Setup / Teardown

There are no fixed times for setup, teardown, or exhibiting. Use the conference schedule to determine the best times for attendee engagement.

If your setup is light you can come in early to set up on the first day of our exhibiting. For exhibitors starting on Monday, feel free to setup anytime on Sunday. Otherwise, plan on setting up the evening before your first day of exhibiting and tearing down the evening of your last day.

Sponsorship Details

Conference Approval

In this document the term “with conference approval” means that sponsors and/or potential sponsors must inform the conference in advance of the nature of the material and where appropriate, show us a copy. “Subject to conference approval” means that we are giving the sponsor the benefit of the doubt sight unseen, but reserve the right to not use/distribute the material once we see it.

  • No sponsorship level includes registrations or exhibitor privileges.
    • These are separate (except that exhibitor passes can be extended to cover the entire week for “metal” level sponsors).
  • Registration packet: Some sponsorship levels allow for the provision of fliers or other materials for insertion into the registration package.
    • These are subject to conference approval.
    • Fliers are single pages (up to letter size or A4) which may be printed front and back. Stickers are considered fliers for this purpose.
    • Brochures are multi-pages (up to four sheets letter size or A4) and either folded or stapled.
    • Material other than fliers or brochures must be approved in advance by the conference.
    • All material for the registration package must arrive by at least the day before registration.
  • Literature table: A table for fliers and or other printed material will be available to attendees at registration and during the conference.
    • Material is subject to approval by the conference.
  • Signage:  Posters (up to 2’ x 3’) and banners (larger than posters) will be displayed in conference public areas.
    • Material is subject to approval by the conference.
  • In-Kind: In-kind sponsorships (tee shirts and other swag) are with conference approval and must not be detracting from the conference’s credibility and professionalism. Some sponsorship levels will have in-kind rights. Sponsors that are only interested in in-kind sponsorships will negotiate the level of financial support depending on the nature of the swag.
  • Banquet sponsorship: The sponsored banquet will be identified with the sponsor’s name, e.g. “Bell Labs Banquet” in the conference schedule and when otherwise referenced. The following material, subject to conference approval, will also be used if provided by the sponsor: Up to two banners, up to four posters and/or printed napkins. (Limited to one sponsor per day.)
  • Lunch sponsorship: The sponsored lunch will be identified with the sponsor’s name, e.g. “Bell Labs Lunch” in the conference schedule and when otherwise referenced. The following material, subject to conference approval, will also be used if provided by the sponsor: A banner, up to two posters and/or printed napkins. (Limited to one sponsor per day.)
  • Reception sponsorship: The Sunday evening reception will be identified with the sponsor’s name, e.g. “Bell Labs Welcoming Reception” in the conference schedule and when otherwise referenced. The following material, subject to conference approval, will also be used if provided by the sponsor: A banner, up to two posters and/or printed napkins. (Limited to one sponsor.)
  • Other sponsorships: The conference is open to considering other sponsorship levels that are consistent with the rationale and restrictions outlined here.

Deadlines

We’ve not established a hard deadline for sponsorship, however, since much of the value of a sponsorship is visibility on the website and in emails to attendees, the sooner you sponsor, the more valuable your sponsorship.

Some sponsorship benefits may not be provide for late sponsorships. For example, the schedule app splash screen requires significant lead time.

Sponsors that wish to add literature or swag of any kind to the registration packets must inform us of this fact (at sponsorship@cppcon.org) by three weeks before conference registration.

All materials intended for distribution at registration must arrive at the Gaylord Rockies Resort & Convention Center by the last business day before registration.
