Please refer to the Sponsorship Prospectus and the Exhibitor Prospectus.

Conference Approval

In this document the term “with conference approval” means that sponsors and/or potential sponsors must inform the conference in advance of the nature of the material and where appropriate, show us a copy. “Subject to conference approval” means that we are giving the sponsor the benefit of the doubt sight unseen, but reserve the right to not use/distribute the material once we see it.

Shipping

If your shipper requires a phone number, use the Meydenbauer security number of 425-766-7496. Meydenbauer security is 24 hours and they can always accept shipments.

Material intended for the registration package, must arrive at least by the last business day before registration. Signage will be posted if it arrives later, but clearly there is greater value to the sponsor if it arrives at least the day before registration, so that it can be displayed for the entire conference.

Return shipping

If you have material that you know you’ll be shipping back at the conclusion of the conference, we recommend that you print the return shipping label when printing the shipping label to the Meydenbauer. To ship material from the Meydenbauer:

  1. Package the material for shipment
  2. Take the material to the shipping dock on the first floor (we have volunteers that can help)
  3. Arrange for package pickup with the shipper

Details

Icon and link on website: All sponsorship levels are allowed an icon and link for the conference website. These will be displayed in a way that reflect the sponsorship level.

  • No sponsorship level includes registrations or exhibitor privileges. These are always separate.
  • Acknowledgements: Sponsors are mentioned by name and level and thanked at the opening and closing plenary sessions and in attendee mailing.
  • Registration packet: Sponsor may provide fliers or other materials for insertion into the registration package. These are subject to conference approval. Fliers are single pages (up to letter size or A4) which may be printed front and back. Stickers are considered fliers for this purpose. Brochures are multi-pages (up to four sheets letter size or A4) and either folded or stapled. Material other than fliers or brochures must be approved in advance by the conference. All material for the registration package much arrive by at least the day before registration.
  • Literature table: A table for fliers and or other printed material will be available to attendees at registration and during the conference. Material is subject to approval by the conference.
  • Signage:  Posters (up to 2’ x 3’) and banners (larger than posters) will be displayed in conference public areas. Material is subject to approval by the conference.
  • In-Kind: In-kind sponsorships (tee shirts and other swag) are with conference approval and must not be detracting from the conference’s credibility and professionalism. Some sponsorship levels will have in-kind rights. Sponsors that are only interested in in-kind sponsorships will negotiate the level of financial support depending on the nature of the swag.
  • Banquet sponsorship: The sponsored banquet will be identified with the sponsor’s name, e.g. “Bell Labs Banquet” in the conference schedule and when otherwise referenced. The following material, subject to conference approval, will also be used if provided by the sponsor: Up to two banners, up to four posters and/or printed napkins. (Limited to one sponsor per day.)
  • Lunch sponsorship: The sponsored lunch will be identified with the sponsor’s name, e.g. “Bell Labs Lunch” in the conference schedule and when otherwise referenced. The following material, subject to conference approval, will also be used if provided by the sponsor: A banner, up to two posters and/or printed napkins. (Limited to one sponsor per day.)
  • Reception sponsorship: The Sunday evening reception will be identified with the sponsor’s name, e.g. “Bell Labs Welcoming Reception” in the conference schedule and when otherwise referenced. The following material, subject to conference approval, will also be used if provided by the sponsor: A banner, up to two posters and/or printed napkins. (Limited to one sponsor.)
  • Espresso bar: If an espresso bar is sponsored, it will be identified by the sponsors name and a sponsor provided poster will be posted subject to conference approval. (Limited to one sponsor per day.)
  • Other sponsorships: The conference is open to consider other sponsorship levels that are consistent with the rationale and restrictions outlined here.

Deadlines

We’ve not established a hard deadline for sponsorship, however, since much of the value of a sponsorship is visibility on the website and in emails to attendees, the sooner you sponsor, the more valuable your sponsorship.

Sponsors that wish to add literature or swag of any kind to the registration packets must inform us of this fact (at sponsorship@cppcon.org) by three weeks before conference registration.

All materials intended for distribution at registration must arrive at the Meydenbauer Conference Center by the last business day before registration.
